Suspension of OneLInk PTA Accounting Interface for Northwest and Mid-Atlantic Regions

    Due to processing issues reported by OneLink, commitment and expenditure information for Northwest and Mid-Atlantic regions that were expected to upload to PTA beginning Monday night will be delayed until further notice. OneLink is investigating the issue and hopes to have a resolution soon.

    Until this is resolved, the information in PTA that is typically updated by accounting interfaces will remain unchanged.

    PTA's 1st Month-end Close for Northwest and Mid-Atlantic regions will be run at close of business 7/3/2012.

Introduction to NFS Data Warehouse

    The NFS DW is a central location where data from multiple source systems are collected for the purpose of data mining and analysis. It is a well managed environment that streamlines data for accurate interpretation by users in various roles across regions. Data is kept secure by applying login accounts and access permissions. Data storage is designed to be scalable; expansion of data is always possible and encouraged. For more information, please refer to the Overview Video.

NFS DW Business Objects Reporting tool provides the ability to:

  • Provides dashboard reporting and historical reporting for analyzing trends and anomalies.
  • Run snapshot reports (e.g., financial reports as of a certain date).
  • Provides end user capability to create reports on their own.
  • Advanced report features such as ad hoc reporting, data filters, drill-down views, graphs, calculations, queries, automated delivery of reports, export reports to pdf, xls and csv.
  • Run reports encompassing multiple projects, across various data sources.
  • Run monthly and quarterly close reports (e.g., CQE, CME).

    Who can get access to Business Objects and how can I get access?

    Internal Kaiser employees and contractors can request access to the NFS Data Warehouse via the following ways:

    1) Select the link "Request Forms" in the left menu of this page
    2) Go to http://request.kpnfs.com/dw_access.php

    At this time, external contractors do not have access to the NFS DW.

    What is the difference between the Power User and Basic User access level?

    There will be two types of User access available in Business Objects. One would be Power User and the other Basic User.

    • Basic Users will have access to View, Schedule and Export one of the standard reports. They would also have access to save the report in their Personal Folders.
    • Power Users will have access to modify an existing standard report and create their own Ad-hoc report, in addition to everything a Basic User could do. Power User Access has to be approved by your Manager.
    How can I get my password reset?

    Please click on the "Password Reset" link located under the Support section in the left menu of this page.

    How do I save the report as Excel /PDF?

    Once you run the report, you can then save it as a PDF or an Excel spreadsheet by clickng on "Document", then "Save to my computer as". Please refer to the Quick Reference Guide or the NFS DW Basic User Training (located on the left menu of this page) for more information.

    How do I change the prompts in a report?

    Each report might have a different prompt such as project number, vendor, etc. To modify the prompt values:
    1. Navigate to the desired report as indicated in the Selecting a Report section of this document."
    2. Highlight the values you wish to use and click on the double arrow pointing to the right (>>) in order to add those values as criteria.

    3. If you wish to exclude some of the listed values, highlight the value you don't want to use and click on the double arrow pointing to the left (<<).

    If you do not change any of the values for the prompts, the report will retain the previously used values.


    How do I maximize the screen displaying the report?

    You can maximize the report screen by clicking on the Maximize button on top right corner of the report, as shown in the screenshot below

    How can I modify an existing standard report?

    You do not have access to modify a report in the Public Folders. You must be a Power User to be able to make changes to a standard report. You can
    modify a report by first copying the report to your "Personal Folders" and then by clicking on "Modify" below the report name.

    How do I print a report?

    You can print after running the report by clicking on Print button in the Report, as shown in the screen below. The report will first open in PDF mode and then print it.

    How do I schedule a report?

    You can schedule a report to run at defined intervals like hourly, daily, weekly, monthly or a specific date of a month. You can specify the report to be delivered as an Excel/PDF to your Business Objects "email" or to your Lotus Notes email. To schedule, first click on "Schedule" below the name of the report and enter the Scheduling details. Please refer the screenshot below.

    Can I get to PTA or PMCS via the NFS DW?

    No, you cannot access PTA or PMCS via the NFS DW. You can access PTA and PMCS from the NFS intranet site.

    How can I get the most Current Values from the NFS Data Warehouse?

    Since the NFS Data Warehouse retains historical values, please add the “Current Value” Filter to the Query Filter Pane while creating ad-hoc reports.

    This is applicable when using objects from the following classes:

    1. Project Cost Sheet Values                
    2. Project Revisions Values                  
    3. Contract Values
    4. Invoices Values                                
    5. Schedule Values                               
    6. Acct Expenditures Values
    7. Account Commits Values

    Add the “Current Values” Filter to the Query Filter Pane as shown below:

    How do I get information for Month End Close (MEC) Reporting?

    The “Month End Close (MEC)” Filter has been created to assist you with Month End Close reporting. This "MEC" Filter should only be used when pulling data from the Project Cost Sheet and Contracts Classes.

    Add this “MEC” Filter to the Query Filters Pane as shown below:

    How do I know the latest refresh dates for the Data in the NFS Data Warehouse?

    You can get the latest refresh date for PTA and PMCS data in several places:

    1. On the NFS DW homepage

    The load dates for PTA and PMCS are shown under PTA Load: <Load Date> and PMCS Load: <Load Date> on the homepage.

    2. At the top right hand corner for all standardized reports (see below)

    3. From the "Batch Load Log" class as shown below. This is only applicable when creating ad hoc reports.
